A knowledge base is only as good as the documents in it. When policy changes, the corresponding documents must be updated. If the system contains outdated information, it gives outdated answers: and that can lead to errors. Set up a maintenance process: who is responsible for which documents, how often are they reviewed, and how are outdated versions removed from the system? Without maintenance, quality deteriorates quickly.
Not all internal knowledge should be accessible to all employees. Legal documents, HR files or financial reports must be behind access control. Make sure the system works with roles and permissions: employee A only sees the documents relevant to their role. This is technically achievable but requires careful setup, especially if the system is offered through a central chat interface.
An AI knowledge base answers questions based on what is in the documents. If an answer cannot be found in the sources, the model may start fabricating: a phenomenon called hallucination. Configure the system to clearly indicate when it cannot find an answer in the available sources.
