AI ethics can sometimes seem like an abstract debate for academics and policymakers. But for organisations deploying AI in their daily processes, ethical questions are very concrete: is this allowed, how do you do it responsibly, and what happens when things go wrong? This article provides practical guidance.
The use of AI has direct consequences for people: employees, customers, suppliers. A model that evaluates job applicants, a chatbot that handles customer complaints, or an algorithm that determines prices: all of these systems make decisions that affect someone's situation. Ethics is therefore not a luxury you add on afterwards, but a requirement you embed in the design. The European AI Act makes that partly legally mandatory, but ethics goes further than regulation.
One of the most tangible ethical risks in AI is bias: the system performs worse for certain groups because the training data was unbalanced. That can lead to discrimination: intentional or not. The first step is acknowledging that all training data contains historical patterns, including historical inequality. The second step is actively evaluating whether your system performs equally for different groups. This requires specific test data and clear criteria.
People have the right to know when they are interacting with an AI system. A chatbot that poses as a human employee is ethically problematic, even if it works technically. Transparency does not mean sharing all technical details, but it does mean being honest about the role of AI in an interaction or decision. That applies to customers, but also to employees who work with AI tools.
Not all decisions can be fully left to AI. For decisions that significantly affect someone's life: rejection of an application, performance evaluation, determination of a risk profile: a human must have the ability to review that decision and revise it if necessary. This is both an ethical and a legal principle. In practice, it means designing workflows with clear escalation paths and a human-readable explanation of the AI outcome.
AI systems make mistakes. That is a given, not an excuse. Acting ethically means anticipating errors: what harm can a mistake cause, who is affected and how do you remedy it? A system that occasionally misinterprets a customer question has different consequences than a system that supports a medical decision. The severity of potential errors should determine the degree of human oversight required.
Which data do you use to train or feed your model? Have the individuals whose data you use given consent for that? Is the data being used for a purpose those individuals could reasonably have anticipated? These are not hypothetical questions. Organisations that use data from customers or employees for AI applications must be able to clearly explain the legal basis for doing so and the rights of those involved.
